FreePBX / Comedian Voicemail Quick Reference

This Voicemail Quick Reference assumes you’re using a Polycom VVX410 handset (or similar) with a basic configuration accessing FreePBX. It also assumes that you have voicemail activated on your extension and know your voicemail PIN. If you don’t have a Voicemail PIN try the last 4 digits of your DID, or see your PBX administrator.

Accessing Voicemail

Accessing Voicemail from your desk phone

To access access your voicemail box from your own desk phone simply press the Voicemail key on your phone or you can dial *97. Enter your PIN when/if prompted.

Accessing Voicemail from another desk phone or extension

If you are calling from a different extension dial *98 then enter the extension of the voice mailbox you wish to access. Enter your PIN on request.

Setting Up Your Voicemail Box

Make sure you setup 3 different messages when you first get your new phone and mailbox. After accessing your Voicemail Box, Press 0 for Mailbox Options. The messages/greetings are:

  • Press 1 to record your Unavailable Message
  • Press 2 to record your Busy Message
  • Press 3 to record your Name

Follow the prompts to get those three Messages Recorded so your voicemail box is customized with your name and voice.

In the future, you can also Press 4 to record a Temporary Greeting. This may be useful when your out of the office for extended periods or on vacation. Don’t forget to return to this menu and disable it after you return!

Checking New Voicemail Messages

Once you have accessed your mailbox a recording will announce whether you have any new messages. If you have new messages, you will be prompted to Press 1 to hear them.
During the playback of messages it is possible to skip forwards to the next message by Pressing 6 or back to the previous message by Pressing 4.
Once you have heard each message you can select one of the following options or Press 6 to skip to the next message:

  • Press 3 for Advanced Options (this includes the option to hear the time the message was left and the callers number
  • Press 5 to Repeat the message
  • Press 7 to Delete the message
  • Press 8 to Forward the message to another user (you will be asked for the extension number to send the message to
  • Press 9 to Save the message
